Aptitudes and Skills:
➤ AI familiarity: Working knowledge of current AI tools (generative AI, prompt engineering, AI-assisted workflows)
➤ Policy or QA background: Experience in academic quality assurance, institutional accreditation, or policy development in higher education
➤ Regional knowledge: Familiarity with the local higher education landscape, Uzbekistan’s regulatory environment, or experience working in a context where institutions answer to both a local government authority and an international partner
➤ Research awareness: Understanding of research methodology and academic publishing, sufficient to coordinate (not necessarily conduct) the applied research programme and engage credibly with faculty researchers
➤ Training delivery: Experience designing or delivering professional development programmes, workshops, or training. The Coordinator will not deliver all training personally, but needs to understand what effective faculty development looks like. -
Purpose:
✔ To coordinate and drive the effective implementation of WIUT’s three-year strategy for integrating artificial intelligence across teaching and learning, research, and institutional operations. The postholder will translate strategic decisions into practical actions, coordinate the development and implementation of relevant policies and initiatives, monitor progress, identify risks and emerging issues at an early stage, and facilitate effective collaboration between academic, professional services, and IT teams across the University. The role directly reports to the Rector.
Responsibilities
Strategy coordination and implementation
- Drive the implementation roadmap. Own the term-by-term action plan: track milestones, flag delays early, coordinate dependencies across faculties and departments. The strategy document is 15 pages; making it real is the job.
- Run the AI Steering Group secretariat. Prepare agendas and papers, ensure decisions are recorded and followed up, manage the termly reporting cycle to SMT. Keep the group focused on decisions, not presentations.
- Maintain the performance dashboard. Collect data against the strategy’s KPIs from faculties, IT, Career Services, and QA. Prepare termly progress reports. The dashboard should tell a clear story: what’s on track, what’s behind, and what needs a decision.
- Coordinate across faculties. Work with Faculty AI Leads (one per school) to support syllabus AI-use policy rollout, pedagogy pilots, and faculty development. This requires genuine relationship-building, not just email follow-ups.
Policy and governance
- Draft institutional AI policies. Lead the development of the institutional AI-use policy, student AI-use declaration templates, IP and copyright guidance, and the AI detection policy. Coordinate with Quality Assurance, Academic Registry, IT, and faculty representatives. The Coordinator drafts; the working groups and Academic Council approve.
- Manage the approved AI tools register. Work with the Digital Learning Support Officer and IT to establish and maintain the register of AI tools approved for institutional use. Ensure the vetting process covers data protection, privacy compliance, and content quality. Update at least twice per year.
Track regulatory developments. Monitor AI-in-education policy developments in Uzbekistan, the UK, and internationally. Brief the Steering Group and Rector’s Office on anything that affects WIUT’s position or requires a response. When Uzbekistan’s Ministry develops its own framework, this role should be the institutional point of contact.
Faculty development support
Coordinate the training programme. Work with CAD/HCMD to schedule and deliver the tiered faculty development programme (Acquire / Deepen / Create). Arrange external facilitators for the first training cycle. Track faculty progress against competency targets.
Support peer-learning communities. Help Faculty AI Leads establish and sustain peer-learning groups. Provide structure (templates, discussion guides, the Design–Implement–Reflect cycle) without over-managing. Connect groups across faculties so good practice spreads.
Communication and engagement
Be the visible face of the strategy internally. Faculty and staff should know who to contact with AI-related questions, proposals, or concerns. This requires presence: attending faculty meetings, running drop-in sessions, being accessible. The strategy works only if people feel involved, not managed.
Prepare communications for different audiences. ETM and FMT papers, faculty guidance notes, student-facing information, briefings for the University of Westminster and the Ministry. Each requires a different register. The Coordinator must write well and adapt tone to context
Requirements
Education
- Master’s degree or equivalent in any relevant field (education, IT, management, social sciences, or other fields are all acceptable). What matters is intellectual capability, not the specific subject
Institutional experience
- At least 3 years’ professional experience in a higher education institution, in any role that involved working across departments or functions (academic administration, quality assurance, programme management, educational technology, institutional development, or similar). The candidate must understand how universities govern themselves: committees, academic boards, faculty structures, the rhythm of the academic year.
Project coordination
- Demonstrated ability to manage a complex initiative with multiple stakeholders, competing priorities, and institutional politics. This could come from HE, the public sector, NGOs, or the private sector. We need evidence of getting things done in organisations where you cannot simply direct people.
Communication
- Excellent written and spoken English. The role produces policy documents, committee papers, faculty guidance, and briefings for senior external stakeholders (University of Westminster, Ministry). Strong writing in a formal register is non-negotiable. Russian and/or Uzbek language capability is significant.
Working style
- Self-directed, organised, comfortable with ambiguity. This is a new role in a developing area. There is a strategy document and a roadmap, but the Coordinator will need to make judgement calls daily about priorities, sequencing, and how hard to push. The role suits someone who is energised by building something, not someone who needs a fully defined brief.
